Privacy Notice

Last updated: October 2026

MixerApp is a service operated by Troven Inc. (49 Kearney Street, Guelph, Ontario, N1E 7B9, Canada). Event organizers use it to run speed dating and matching events. This notice explains what personal information MixerApp handles, who sees it, and how long it is kept.

Who is responsible

When you sign up for an event, the organizer running that event (for example, Happy Hour Events) decides who attends and why your information is collected. Troven Inc. runs the MixerApp platform for the organizer and also collects some information directly from you on your profile page. Both are responsible for looking after your information. Questions go to hello@mixerapp.ca; we will pass them to the organizer where that is the right place to answer.

What we collect

If you take part in an event, we collect: your first and last name, email address, phone number, city and postal code (we keep the postal code and its first three characters), birth year, your sex and the kind of match you are looking for, your photo, and your choices during the event (the people you would like to see again, and any private notes you write about them, which only you can see). We also record what you agreed to (see "Your choices") with the date, your IP address and your browser type, so we can show that you agreed.

If you are an organizer or on an organizer's team, we collect your name, email address and a password (stored only in scrambled form), your business name and billing country and postal code. Payment is processed by Stripe; we never see or store your card number.

If you use the contact form on our website, we receive your name, business, email and message by email. We do not store them in the app.

What your information is used for

Your information is used to run the event you signed up for: to build the numbered list you choose from, to find mutual matches, to send you your results, and to let the organizer run the event. We email you about the event (your link, your reminders, your results). Organizers write some of the wording of these emails, such as the results email, and may include notes about their own events. The results email is sent to everyone who attended because it contains their results, and it has an unsubscribe link. We send marketing email only if you agreed to it. We do not sell your information, and we do not use it for advertising.

Who sees what

  • While people are choosing, you see other attendees' first name, last initial and nametag number. Photos are not shown.
  • If two people both say yes, each sees the other's first name, last initial, photo, phone number and nametag number, so you can recognize each other and get in touch. They do not see your email address, last name or city.
  • The event organizer sees everything on the roster, including your email, phone number, city, birth year, matching preference and your choices. When an organizer looks up one person's choices in the console, that lookup is recorded in an audit log.
  • Troven Inc. staff can see this information to run and support the service.

Service providers

We use these companies to run MixerApp: SendGrid (sending email), Stripe (organizer payments only), DigitalOcean (hosting; photos and backups are stored in Toronto, Canada), and Eventbrite (if an organizer imports their ticket list from it, information flows in from Eventbrite to MixerApp; nothing is sent to Eventbrite). SendGrid and Stripe operate in the United States, so information they handle may be processed there and may be available to authorities in that country under its laws.

Our website serves its own fonts and does not load them from Google or any other outside company. No page loads anything from another company's server. Emails to attendees are sent from the organizer's own sending domain through SendGrid, and we do not track whether attendees open them or click links in them: open tracking, click tracking and link rewriting are switched off for those emails. Emails to organizers and their staff (invitations, password resets, payment notices) are sent from mixerapp.ca and do not record whether they were opened or which links were clicked.

Your photo

Your photo is not shown to anyone while people are choosing who they would like to see again. It is only shared with someone you have both matched with. We keep it while you remain an active participant. We delete it automatically 12 months after the end of the last event you registered for with that organizer, and sooner if you ask. You can remove it yourself with the Remove button on your profile page. Unticking the photo permission also deletes it. Photos are stored privately in Toronto, Canada, are only shown through the app, and the location data inside the image file is removed when you upload.

How long we keep other information

Apart from photos, we keep your information for as long as the organizer's account is active so that you can take part in future events, and we keep a record of your consents as proof of what you agreed to. We do not yet delete everything automatically. You can ask us to delete or de-identify your information at any time (see "Your rights"). Backups are kept for up to 30 days, and weekly backups for up to 180 days, so deleted information can remain in a backup for that long before it is overwritten. Server logs are kept for up to about three months.

Your choices

We ask your permission separately for: confirming you are 18 or older, sharing your details with people you match, keeping your photo, and receiving marketing email from the organizer. You can withdraw any of these at any time. The unsubscribe link in our emails works in two steps (a confirmation page) so that email scanners cannot unsubscribe you by accident, and it stops marketing email from that one organizer; if you have signed up with more than one organizer, tell each one or write to us and we will do it for you. The link appears in invitations and results emails. Other event emails (your access link, confirmations, introductions) do not carry it. Your mail app may show its own Unsubscribe button on any of our emails; using it can stop all email from that organizer, including your event link and results, so use it only if that is what you want. Messages that are part of running your event are sent even if you decline marketing. If an organizer uploads their own list of past customers, they confirm to us that those people have an existing relationship with them and have agreed to hear from them; you can unsubscribe from any such message.

Cookies and similar technology

We use a small number of cookies, only to keep you signed in or to complete a sign-in step. Participants and attendees: a participant session cookie (14 days) and a profile session cookie (30 days). Organizers and staff: a staff session cookie (30 days; 7 days for Troven administrators) and, only while connecting an Eventbrite account, a short cookie (60 minutes) that is sent only to the Eventbrite return address. They are secure, hidden from scripts and only sent to our site. Your browser also stores your unsent private note drafts (on your device only) and, for organizers, the light or dark display choice. We do not use advertising or analytics cookies or trackers.

Age

MixerApp is for adults. You must be 18 or older to take part. We do not knowingly collect information from anyone younger.

Data breaches

In the unlikely event of a data breach that creates a real risk of harm to you, we will notify you and the appropriate authorities as required by Canadian law.

Your rights

You may ask for access to, correction of, or deletion of your information at any time by emailing hello@mixerapp.ca. We will confirm that we received your request within 5 business days and complete it within 30 days. We may need to confirm who you are first. If we keep anything (for example, a record that you unsubscribed, so we do not email you again), we will tell you what and why. If an organizer removes you from their list, your links and sessions stop working right away and we stop emailing you, but people you already matched with at an earlier event can still see your first name, last initial, phone number and photo until your information is deleted or de-identified; ask us if you want that done. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
